WeClickk Privacy Policy
Last updated: 15 October 2026
WeClickk LLC ("WeClickk", "we") makes the WeClickk apps for iPhone and Android, the WeClickk web app, and the pages people open from WeClickk emails (callsheets, release signing, invites and password resets). This policy explains what we collect, why, and the choices you have.
Who this applies to
- Workspace members: producers and crew who sign in to WeClickk.
- People added to a shoot: crew and talent whose details a production adds to a shoot, including people who never sign in.
- Clients: people who review briefs and cuts through a WeClickk link.
A production company (the workspace owner) decides who is added to its shoots and what is shared. For that information, the production company is responsible for having a reason to process it; we process it on their behalf to run the service.
What we collect
- Account details: name, email address, password (stored only as a secure hash), role, and the workspace you belong to.
- Shoot information a production adds: names, roles, email addresses, phone numbers and call times of crew and talent; schedules, callsheets, scripts, shot lists, locations, budgets and notes.
- Talent releases: the release text, the signer's name, a drawn signature image, the time and method of signing and, for minors, the guardian's name, relationship and signature.
- Activity on the day: check-ins, takes, notes and issues logged in the app, with the time they happened.
- Files you upload: reference images, PDFs and other files attached to a shoot.
- Email activity: whether a callsheet link was opened and whether a call time was confirmed.
- Device and technical data: the type of device and operating system, the app version, and a notification token if you allow notifications. Our servers keep short-lived logs (such as IP address and request time) to keep the service secure.
We do not use advertising trackers, we do not sell personal information, and we do not use it to train AI models.
Why we use it
- To run WeClickk: show shoots, send callsheets, collect confirmations and signatures, keep schedules and budgets in sync across devices, and generate PDFs and reports.
- To send service emails and notifications you or your production asked for (callsheets, reminders, release requests, signed copies, wrap reports, invites, password resets).
- To keep the service secure, prevent abuse and fix problems.
Who we share it with
- Your production and team: information on a shoot is visible to the members of that workspace, according to their role.
- People you send things to: a callsheet shows the shoot details needed for the day; a release link shows the release to the person signing it.
- Service providers that host and operate WeClickk for us, under contracts that limit their use of the data:
- DigitalOcean (servers, database and file storage),
- Postmark (email delivery),
- Apple Push Notification service and Google Firebase Cloud Messaging (notifications),
- Stripe (payments, if your workspace subscribes).
- When the law requires it, or to protect people's safety or our rights.
Where it is stored and for how long
Data is stored on DigitalOcean servers in India (Bangalore) and Germany (Frankfurt). We keep shoot information for as long as the workspace keeps it. Signed releases are kept for the production's records until the workspace deletes them. When an account or workspace is deleted, we delete its data from our systems within 30 days, apart from backups, which roll off within a further 30 days, and anything we must keep by law.
Your choices and rights
- Access and correction: you can see and edit your profile in the app. Ask your production to correct shoot details they added about you.
- Deletion: you can delete your account in the app (Settings → Delete account). If you were added to a shoot without an account, ask the production, or contact us.
- Notifications: you can turn reminders and alerts on or off in Settings, or in your phone's settings.
- Depending on where you live, you may have further rights, such as to object or to receive a copy of your data. Contact us to use them.
Children
WeClickk is for professional productions. It is not directed at children. A minor's release is signed with a parent or guardian's consent, and only the information needed for that release is collected.
Security
Connections to WeClickk are encrypted. Passwords are hashed, files are stored privately and opened through short-lived links, and access to shoots follows each person's role.
Changes
If we change this policy in a meaningful way, we will update the date above and tell workspace owners.
